Field Days Marquee Guide


A practical guide to planning, building, and running a successful marquee site at NZ Field Days

Whether you're exhibiting for the first time or refining an existing setup, this guide covers everything you need to know, from picking the right marquee footprint and organising hospitality tents to power, H&S compliance, and getting your crew in and out on time.

How to Plan Your Field Days Site

Site Footprint

Identify your allocated site dimensions. Outdoor sites at Mystery Creek range from small 6 × 6 m plots to large multi-bay footprints exceeding 20 × 60 m. Plan for demo space, customer circulation aisles, and a rear storage / staff zone.

Marquee & Structure

Choose a clearspan marquee sized to your footprint. We recommend adding 2–3 m each side for overhangs and sidewall access. Combine structures for larger sites. Isuzu & Hyundai ran a combined 20 × 35 m and 15 × 60 m side by side.

Hospitality Tents

Hospitality tents require a designated zone on your site plan. Check the Fieldays outdoor exhibitor map for zoning rules. Allow space for bar counters, fridges, timber flooring, and clear sightlines from the main display area.

Branding & Signage

Fascia banners, full-height wall wraps, and branded vinyl panels keep your stand visible from a distance. Submit artwork dimensions early, we cut and print to your marquee spans so everything fits perfectly.

Available through the Fieldays Exhibitor Portal, order early, services sell out

Power

240 V standard and high-amp options. Order early, site load is capped. We plan power distribution with redundancy and a generator backup if required.

Water & Grey Water

Water connections for bar and hospitality setups. Grey-water drainage is required for any catering or beverage service.

Broadband

One NZ modem hire recommended for a dedicated network. General site Wi-Fi is shared across 1,000+ exhibitors and may be unreliable for EFTPOS.

Flooring

Timber flooring panels for hospitality areas, non-trip cable covers for public-facing zones, and compliant concrete weights where pegging isn't permitted.

Lighting

High LED flood strips for general illumination, directional spotlights for displays, and festoon or fairy-light accents for hospitality zones.

Heating

A range of heaters including large diesel heater for chilly June days available for marquee use.

Security

After-hours site security through the Fieldays security contractor. Gates are locked each day

Forklift Access

Scheduled forklift slots available during pack-in and pack-out for heavy machinery, vehicles, or large display items.

Health & Safety

  • All staff must complete the H&S induction via QR code (text SAFETY to 540) before entering site.
  • Clearspan marquees must be anchored, use Fieldays-compliant concrete weights on no-peg sites. We supply and install.
  • Check the Red Digging Map for underground services before any ground anchoring.
  • All cable runs must be covered in public-facing areas (cable covers supplied).
  • A Site Plan must be submitted to Fieldays staff before pack-in begins, include your marquee layout, power inlet location, and any vehicle display zones.
  • Alcohol licensing and the Hosting Form must be completed via your Exhibitor Portal if serving alcohol in your hospitality tent.

Pack-In & Pack-Out

  • Vehicle passes are not required during pack-in or pack-out, but every person in the vehicle must have their H&S induction QR code.
  • Pack-in typically starts 7–10 days before the event opens. Our crew coordinates with the Fieldays yard team on induction schedules. Large builds will be started 4-6 weeks out from the event.
  • We stage marquee delivery, flooring, furniture, and branding drops to minimise site congestion.
  • Pack-out windows are strict, all structures must be cleared within the allocated time or you may face additional charges from Fieldays.
  • We handle the full pack-down including structure disassembly, flooring removal, and rubbish clearance so your team can focus on the event.

Quick Tips from the Field

Order broadband early, the One NZ modem quota sells out before the portal closes.

Use clear-wall bays on your frontage to maintain sightlines into the display space from the laneway.

Put registration and storage off the main loop, it keeps your stand tidy and queue-free on event days.

Plan a weather contingency, sidewalls, weighted entrances, and drainage channels prevent downtime during NZ June weather.

Combine structures for a larger presence, linked marquees can create one seamless branded environment.

Submit your site plan early, Fieldays H&S approval can take several days and delays pack-in if lodged late.
